Art-department scheduling in stop-motion television is the system that converts an episode order and shooting plan into timed deliveries of sets, puppets, costumes, props, repairs and approvals. Because those assets are physical, the schedule is not merely administrative: it determines what must exist simultaneously, what can be reused, what needs duplicates, and which departments have to finish before a shooting unit can begin.
Overview
The useful way to think about a stop-motion television schedule is as a **physical dependency map**. On *The Tiny Chef Show*, ShadowMachine Art Production Supervisor Whitney Schmerber describes beginning with the shooting order, using it to determine how many duplicate puppets and art pieces are required, and then turning those needs into delivery dates for fabrication. Design information is consolidated into a Build Bible before work moves through set fabrication, landscapes, model shop, mold/cast and scenic teams; some props also require approval from rigging, camera or puppets before they are ready for the stage. Final set pieces are transported to the units, reassembled and vetted onstage. The important principle is broader than the particular software used: the shooting plan creates the build plan, and the build plan must expose every dependency that can stop a unit from shooting.
*Robot Chicken* shows the same problem under a very different production shape. The anthology format creates many short sketches and a high turnover of one-off assets. In a 2019 production visit, head of puppet fabrication Caroline Kastelic and head of costuming Julia Rosner described fabrication and costuming as roughly a six-week process per episode with substantial overlap between episodes; Kastelic said the production made about 100 puppets per episode and about 2,000 over a season. The response was not simply to build faster. The department maintained standard body types, reused older puppets and props where appropriate, modified commercial toys, and reserved custom fabrication for characters that could not be served by the stock system. Earlier reporting on the series likewise documented the large number of sets and puppets required per episode and the need to coordinate many animation stages. These numbers belong to those particular production periods, not to stop-motion television in general, but they make the scheduling problem visible: **standardisation, inventory and reuse are forms of capacity planning**.
The comparison also shows that production tracking is fundamentally an information-handoff problem. ShadowMachine's *Tiny Chef* workflow uses Flow Production Tracking to encode task dependencies, templates and team-specific schedules, and to test different scenarios when episode-specific props threaten the available capacity. Stoopid Buddy Stoodios has documented a much more ordinary but equally revealing handoff: production assistant Todd McClintock described bridging storyboard artists and other departments by formatting and printing storyboard binders. WIRED's earlier *Robot Chicken* visit documented another specialised handoff, a frame-by-frame mouth spreadsheet used by animators for dialogue. These artifacts differ in sophistication, but they perform the same job: they translate editorial intent into information that another department can act on without reconstructing the plan from memory.
A strong schedule therefore tracks **constraints, not just dates**. A costume may need hidden openings so animators can reach rig points; a prop may need camera or puppet approval; a puppet may need a duplicate because two units require it at once; a supposedly new asset may be replaced by an existing inventory item when the build team has no remaining capacity. On *Tiny Chef*, Schmerber describes scenario-planning episode-specific prop demand and ultimately limiting new builds while reusing or purchasing alternatives. On *Robot Chicken*, stock bodies and deep reuse archives absorb a different kind of demand. The transferable lesson is that an art-department schedule should be treated as a feedback loop between creative ambition, fabrication capacity and shooting order. Software can make that loop legible, but it cannot replace the production decisions the schedule is meant to expose.
Workflow
- 1. Break the shooting order into physical requirements: locations, set pieces, puppets, costumes, props, graphics, rigging needs and any duplicates required by simultaneous units.
- 2. Classify each requirement before scheduling it: reusable inventory, refurbishment, standard/stock build, custom build, purchase, or outside-vendor work. Record approvals and departments that must sign off before the asset can shoot.
- 3. Build dependency-based delivery schedules for each fabrication team rather than one undifferentiated master list. Link design approval, build, paint/scenic, mold/cast, costume, rigging, camera checks, transport, assembly and onstage vetting where they apply.
- 4. Track the real inventory and the real bottlenecks. When new episode needs arrive, test the effect on labour, duplicates, stage dates and remaining crew time; choose reuse, simplification, purchase or rescheduling deliberately rather than allowing the conflict to surface on the shooting stage.
- 5. Preserve the handoff record that each downstream team actually needs — build documentation, storyboard/shot information, versioned notes, review status and delivery state — and update it when the creative plan changes so the physical shop and shooting units are working from the same production state.
